Office of the Controller of Examinations

The Office of the Controller of Examinations (CoE) having the responsibility of meticulously Planning, Organizing and Conducting the Continuous Internal Assessments (CIA), Practical / Project Viva-Voce Examinations and the End Semester Examinations (ESE) for all Academic Programmes offered by the College as Under Graduate, Post Graduate and Research Programmes.

The detailed Regulation, Curriculum and Syllabi under the Autonomous stream has to be consolidated, after getting approval from Board of Studies (BoS), Standing Committee (SC), Academic Council (AC) and Governing Council (GC). Academic Calendar has been prepared with working days, the slots sessions for CIA, Practical Examinations and ESE for the Theory / Blended / Practical courses under various Academic Programmes, as per the Academic Schedule released by the affiliating Anna University, Chennai from time-to-time.

The CIA will be conducted twice / thrice in a Semester including a Model Examination. The ESE will be conducted once per Semester / twice per year. These are executed with the support of a dedicated team of CoE Office / Exam Cell.

The roles and responsibility of the CoE Office includes the following:

Preparation of the Budget for the Semester / Academic Year

The announcement of Examination Schedules / Slots / Sessions for the Semester, as per the Academic Calendar approved by the Principal

Preparation and updating of faculty and student database including the Discontinued / Debarred / Transferred category of registered candidates for the associated courses including Electives / Special courses offered under various Academic Programmes

Stationery requirements for CIA, Practical Examinations and ESE and its subsequent follow-ups

Candidates On-Roll / Passes out students’ Regular / Arrear course registration / withdrawal process for the Practical Examination and ESE under the Choice Based Credit System (CBCS)

Preparation of various Proforma for the conduct of Examinations including the Remuneration / Other Expenses Claims

Phases of Web portal entry for the CIA updates

Preparation of the Model Question Paper (QP) by the faculty concerned for the Theory / Blended / Practical courses under various Academic Programmes

Conduct of Model examination for the Theory / Blended / Practical courses under various Academic Programmes

Preparation and receiving of QP with detailed answer keys including scheme of evaluation, as per the prescribed syllabus and Revised Bloom’s Taxonomy with the help of selected External / Internal question paper setters for the ESE; use of approved data books / statistical tables / graph sheets / polar, bode and other related charts

Conduct of QP Scrutiny Board Meeting to ensure coverage of syllabus content, avoid the repetition of questions and also ensuring clarity of questions for better understanding / answering by the students within the stipulated time allotted; detailed answer keys including scheme of evaluation also due verified

Hall Ticket generation, release and issue to the Registered Candidates

Announcement of Practical / Project Viva-Voce Examination Slots, Preparation / approval of detailed schedule, Conduct of the Semester Practical / Project Viva-Voce Examinations and Web portal entry, as per the Academic Calendar with the help of Chief Superintendent (CS), Flying Squads, External Examiners, Internal Examiners, Skilled Assistants and Lab Assistants; necessary alternative arrangements has to be made by the concerned examination official and also priory information need to reach to the CS for further follow-ups, in case of non-availability / unavoidable circumstances / availing leaves with valid reasons

Release of detailed schedule / slots / sessions for the ESE

Conduction of ESE including fixing up of External Hall Superintendents (EHS) and Internal Hall Superintendents (IHS) with a Chief Superintendent (CS), Anna University Representative (AUR), Flying Squads and Reserved Hall Superintendents (RHS), as per the guidelines of Anna University, Chennai; necessary alternative arrangements has to be made by the concerned examination official and also priory information need to reach to the CS for further follow-ups, in case of non-availability / unavoidable circumstances / availing leaves with valid reasons

Conduct of Meeting on Malpractice cases of students booked and awarding punishments / action taken there-of

Dummy numbers are assigned for the scripts and Central Valuation System is followed for ESE theory courses

Conduct of Phases of Evaluation of answer scripts with detailed answer keys including scheme of evaluation by the Team of Chief / External / Internal / Assistant Examiners and Web portal entry

Consolidation of Results, and Conduct of the Result Passing Board Meeting with the consent of University Nominee

Declaration of results to the registered candidates

Photocopying / Revaluation / Challenge Revaluation Announcements and its subsequent follow-ups

Issuing of grade sheets as per the prescribed Regulations, after due preparation and verification.

Submission of the Budget for the Semester / Academic Year
